Every asset you add to your inventory is automatically assigned a unique, human-readable ID (e.g., TOOL000001). This ID helps you and your team quickly identify and reference specific items.
It helps to know that each asset actually carries three different IDs, each with its own job:

This article is about the first one — the Asset ID you see and use day to day.
How it Works
When you create a new asset, the system looks at the Asset Type you selected (e.g., “Tool,” “Consumable”) and follows a set of rules to generate the next available ID in that sequence.
- Automatic: You never have to invent an ID yourself.
- Sequential: The number on the end will always increase by one for each new asset of that type.
- Unique: The system guarantees that no two assets of the same type within your company will have the same ID.
Customizing the Format
You have full control over the format of these IDs. You can change the text prefix and the next number in the sequence.
- Example: You might prefer your tools to have an ID like BLBT000123 instead of TOOL000123.
You can manage these formats by going to Settings -> Preferences and finding the “Asset Types & ID Formatting” table.
For a full guide on changing these settings, see Customizing Asset ID Formats.
Internal vs. Public IDs
It’s important to know that this human-readable Asset ID is separate from the long, complex ID used in the QR code’s URL. This ensures that even if you were to change an asset’s ID format, its physical QR code will continue to work without needing to be replaced.
