Yes. The Free Forever plan costs nothing and stays free for as long as you use it. There is no trial countdown and no automatic upgrade — it is a genuinely free tier with most of the available features, not a pared-down demo. Read more about the free plan.

The Free Forever plan includes 100 assets, 1 team member, 50 MB of file storage and 1 custom field, plus 25 AI lookups and 25 AI assistant messages every month. Alerts are not included on this plan. There is no card to enter and no time limit — it stays free for as long as you use it. If you reach a limit, nothing is deleted — your work is kept exactly as it is, and upgrading gives you more room straight away. No. You can create your account and start adding assets on the Free Forever plan without entering any card or payment details. We only ask for payment information if and when you choose to upgrade to a paid plan.

No. The free plan remains free indefinitely. We will never convert your free account into a paid one, and we will never charge you without you actively choosing to subscribe.

No. Every plan, including Free Forever, designs and prints your own QR code asset tags onto standard label sheets on a normal printer — there are no proprietary tags to buy. What to print on a QR asset label, and which sizes to use.

Yes — two ways, and both are included. Export your data from your current system (or use the spreadsheet you already keep), save it as a CSV, and import it yourself in minutes from Settings → Import — you match your own columns, see a full preview before anything is saved, and can undo the whole import for seven days. Or, on any paid plan, send us the file and we will do the entire import for you by hand: assets, locations, categories and clients, at no charge. Just get in touch once you have subscribed and we will take it from there.

Yes. You can cancel a paid subscription whenever you like from the billing portal in your account — there is no minimum term and no further commitment. Your paid features stay active until the end of the billing period you have already paid for, after which you simply drop back to the Free Forever plan.

Your data is never deleted. If you cancel or downgrade and your inventory is larger than the free plan allows, nothing is lost — your most recent assets stay fully active and older items are simply paused (still viewable, still exportable) until you upgrade again. You can export everything to CSV at any time. See how this works.

You can cancel at any time and you will not be billed for future periods, but we do not offer refunds for partial months, unused time on an open account, or upgrade/downgrade changes. They differ mainly in scale — how many assets, team members, AI lookups, custom fields and storage you get — rather than which features you can use. Yes. On any paid plan you can add extra users one at a time from Settings → Team for £9 each a month. The new person can be invited straight away. Only the days left in your current period are charged for at the time, your renewal date does not move, and from then on the extra user is simply part of your usual single payment. Once you need a lot of extra users the next plan up is better value, and we say so on the screen.

The seat stays available until the end of the period you have already paid for, and your next bill drops back automatically — so it is a change to your next payment, not a refund of the last one. Nobody is ever removed from your team to make a number fit: if you are above your seat count, new invites pause until there is room, and everyone who already has access keeps it.

Yes. You can move between plans at any time from the billing portal. Upgrading takes effect right away and brings any paused items back into full play — everything you have already built carries straight across with nothing lost in the transition.

Both. Paid plans can be billed monthly or yearly, and choosing yearly saves you around 20% compared with paying month to month. Use the Monthly / Yearly toggle at the top of the page to compare.

Payments are handled securely through our checkout provider and accept all major debit and credit cards. Your full card details are processed by the payment provider — we never see or store them ourselves.

Yes, for annual subscriptions. Get in touch and we will issue a quote or a pro-forma invoice carrying your purchase order number, addressed to the business, school, trust, club or charity rather than to an individual. The subscription starts once payment has been received. Card payment remains the fastest route and is the only option on monthly plans.

An asset is any individual item you track — a tool, a piece of plant, a vehicle, or a quantity of a consumable. Your asset limit is simply the total number of asset records in your account.

You will see a clear in-app prompt. For most limits you cannot add more of that item until you upgrade or free up space; for assets specifically, nothing is deleted — older items are paused rather than removed. Upgrading instantly restores full access to everything.

Yes — on every plan, including the free one. You can raise quotes, invoices and credit notes from the kit you already track, price hire by the hour, day, week or month, bill labour and fixed charges alongside it, and lay the document out with your own section headings and subtotals. UK VAT is handled properly, including zero-rated, exempt and the construction reverse charge. See how quoting and invoicing works.

Quotes and credit notes are unlimited on every plan, including Free Forever. Only issued invoices are counted: the free plan allows five a month, and every paid plan is unlimited. A draft costs nothing, and nothing inside an invoice is counted — a two-line invoice and a two-hundred-line one are the same single invoice.

Yes, if you connect your own Stripe account — available on any paid plan. Your client gets a Pay now button on the invoice you send them, and the money goes straight into your Stripe balance. Asset Giant never holds it, never routes it and takes no cut and no fee; only Stripe’s own processing fees apply. Read about getting paid.

Your logo, trading name, registered address, VAT number and payment details appear on documents on every plan. Paid plans can also remove Asset Giant branding entirely, so what reaches your customer carries nobody’s name but yours.

AI lookups identify and fill in asset details from a photo or a few typed facts. AI assistant messages are questions you ask your inventory in plain English from the dashboard. Both are counted per calendar month and reset at the start of each month.

Yes. Paid plans include multiple user accounts with roles and permissions so you control who can see and change what — five roles, from a full Admin down to a scan-only labourer and a read-only client, enforced on our servers rather than merely hidden in the app. The number of users depends on your plan — see the comparison above.

Yes. Every company’s data is fully isolated from every other company’s, and your inventory is private to your team. Read about our security and privacy.

We will automatically retry the payment and email you. Your account keeps working during a short retry period; if the payment still cannot be collected, the subscription lapses and you return to the Free Forever plan — your data stays safe throughout.

The Free Forever plan is effectively your no-pressure trial. It includes the real features rather than a limited demo, so you can evaluate Asset Giant properly before deciding whether a paid plan earns its keep.
