Asset Giant

Moving From itemit to Asset Giant

How to get your asset data out of itemit, what to do if your plan does not include export, and how to import the file into Asset Giant.

Your register moves across as a spreadsheet, and Asset Giant reads it as it comes — names, makes, models, serials, locations and your own fields. On any paid plan we will load the file for you.

Step 1: Check which itemit plan you are on, first

This is the one thing to do before you plan anything else. itemit’s own guidance on exporting says:

Checked on itemit’s own site, September 2026. If you are on Enterprise, Step 2 takes a couple of minutes. If you are not, skip to If export is not on your plan below — there is still a way to move, it just takes a little longer.

Step 2: Export from itemit (Enterprise)

itemit gives two routes, in its own words:

  • From the web portal — “click the Export Items icon in the top right corner”, then “click the download button to export your data into an Excel file”.
  • From the Reports page — “select the ‘Export All’ or ‘Export View’ option to export your data into an Excel file”. itemit explains the difference: “‘Export All’ exports all your asset data, whereas the ‘Export View’ option only exports the asset data currently shown by your selection/filter in your browser.”

Take Export All unless you are deliberately moving one part of your inventory. The file is an Excel .xlsx, which Asset Giant reads directly — there is no need to convert it.

If export is not on your plan

You can still move, and you do not have to retype everything.

  • Ask itemit for a copy of your data. It is your data, and asking is free.
  • Or copy your list out by hand, once. Show the columns you care about in your itemit list view, select the rows, and paste them into Excel or Google Sheets. Give the first row plain headings — Name, Make, Model, Serial, Location, Cost, Purchase Date — save it, and import that.
  • Or start clean and photograph your kit. For a few dozen items this is often the quickest route of all: point your phone at each tool and the AI fills in the make, model and specifications for you to confirm. See Using AI to Fill in Asset Details.
  • Or send us what you have. On any paid plan we will take whatever shape your list is in and load it for you.

Step 3: Bring the file into Asset Giant

Open Settings then Import and drop the file on the upload box. Nothing is saved until you have seen the preview. Full walkthrough: Importing Your Existing Spreadsheet.

Which column becomes which Asset Giant field

Name, Item, Asset, Description, Equipment, Device Asset Name — the only column you must map
Asset Tag, Reference, Ref, Tag Asset ID (match only — never written over)
Make, Brand, Manufacturer Manufacturer
Model, Model No Model Number
Serial, Serial No, SN Serial Number
Category, Group, Class Category
Location, Site, Room, Area Location
Cost, Price, Value Purchase Price
Purchase Date, Acquired, Bought Purchase Date
Warranty, Warranty Expiry, Expires Warranty Expiration
Assigned To, Holder, Borrower, Out With Checked Out To, or a Client, or a custom field
Notes, Comments Notes
Anything else you rely on A custom field, created from the spare column on the matching step

Check the date order in the green box at the top of the matching step — it says whether it is reading your dates day-first or month-first, with a worked example from your own file, and one click switches it.

What does not come across

  • Photographs and attached files. The importer reads a spreadsheet. Upload the pictures you already hold (Uploading and Managing Asset Photos), let the AI identify an item from a photo, or send us the folder and we will attach them for you. Manuals, certificates and inspection sheets sit on the asset as files: Keep Receipts, Manuals and Certificates with the Asset.
  • Movement, booking and inspection history. Historic records stay in the file you exported. Current custody comes across through Checked Out To and Due Back; keep the export itself on an asset as a document so the detail stays searchable, and Asset Giant keeps its own history from the day you import: See Who Changed an Asset, and When.
  • Inspection and reminder schedules. Bring the date across: a next-inspection, service or warranty date in a date custom field, with a reminder on it, emails you before it passes — included on every paid plan (Getting Alerts Before a Date Passes, Add Your Own Fields to Track Anything Extra).
  • RFID and GPS tag associations. Asset Giant identifies assets by QR code and by Asset ID. Keep a tag number in a custom field if you need it for reference, and read Getting Started with the QR Scanner for how scanning works here. Our side-by-side comparison with itemit sets out where they do more than we do.
  • itemit’s own asset numbers, as Asset IDs. Asset Giant generates its own from Settings → Preferences, for example TOOL-000001. Map the old reference so it can recognise items you already hold, and keep it in a custom field if people search by it.
  • Anything past your plan’s limits. The preview counts it before anything is written, and we will tell you which plan takes your list if you are close: What Happens When You Reach Your Asset Limit.

Anything on that list, we will sort out with you. On any paid plan our team does the manual part at no charge — photos, documents, and the fields that have no obvious home here — whatever shape your list arrives in. Send it over and tell us what matters: How to Get Help and Support.

If it goes wrong, undo it

Every import can be undone for 7 days from Settings → Import. Created assets are deleted, changed assets are put back, and anything edited since is left alone and named in the result.

Would you rather we just did it?

On any paid plan, importing your spreadsheet is included — assets, locations, categories and clients, at no charge. Get in touch through How to Get Help and Support.
