Moving From Sortly to Asset Giant

How to export your inventory from Sortly, import the spreadsheet into Asset Giant, and turn Sortly's folders, tags, quantities and custom fields into the right Asset Giant fields.

Your whole inventory moves in one file. Sortly exports to a spreadsheet, Asset Giant reads that spreadsheet, and your folder structure, quantities, prices and custom fields arrive with it. On any paid plan, send us the file and we will do the lot for you.

Step 1: Export your inventory from Sortly

Sortly’s own help centre gives these steps:

  • “Go to the Reports section.”
  • “Select Inventory Summary.”
  • “Click Export.”
  • “Choose either CSV or Excel (XLSX).”
  • “Click Export to download your file.”

Either format works here — Asset Giant reads both .csv and .xlsx directly.

Sortly’s help also says the export contains “all item details, including custom fields, tags, quantities, and pricing”, the “folder structure and locations”, and “public URLs for item images (not the image files themselves)”. Sortly suggests using a desktop rather than a phone for a large export, because a big file takes longer to generate.

Step 2: Bring the file into Asset Giant

Open Settings then Import and drop the file on the upload box. Nothing is saved until you have seen the preview. The full walkthrough is Importing Your Existing Spreadsheet.

Which Sortly column becomes which Asset Giant field

Your export’s exact headings depend on the fields you set up in Sortly, so the matching step shows you a couple of real values from each column to make the choice obvious. These are the ones that matter:

Name or Item Name Asset Name Yes. The only column you must map.
Quantity or Qty Quantity Yes. A cell that says “5 m” keeps the 5 and reads the m as your unit of measure.
Price, Value or Cost Purchase Price Yes. Symbols and thousands separators are stripped for you.
Min Level or Reorder Minimum Stock Yes — this becomes your reorder level, and can raise a low-stock alert. See Setting a Reorder Level and Getting Low Stock Alerts.
Folder Folder Yes. Write a nested folder as Parent > Child and both are created.
Location Location Yes. Anything you do not have yet is offered for creation on the preview.
Tags Category, a Folder, or a custom field Choose it by hand. A single tag per row is easiest as a Category.

Serial, Model, Brand Serial Number, Model Number, Manufacturer Yes
Your Sortly custom fields A custom field each Create them from your spare columns on the matching step. Your plan sets how many you can have — see What Happens When You Reach Your Asset Limit.

Sortly’s folders are the part worth planning. Sortly nests items inside folders as the main structure; Asset Giant gives you Folders, Categories and Locations as three separate things, so you can put “Camera Kit” in a folder, call it a “Camera” by category, and still say it lives in the Main Store. If your Sortly folders are really places, map that column to Location. If they are really kinds of thing, map it to Category. See Organise Hundreds of Tools So You Can Find One.

What does not come across

  • Your photographs. Sortly’s export carries image links, not the picture files, so the images themselves are not in the spreadsheet. Keep those links in a URL custom field if you want them for reference, and get real pictures onto the assets afterwards: upload the ones you already have (Uploading and Managing Asset Photos), point your phone at an item and let the AI identify it, or send us the picture folder and we will attach them for you.
  • Quantity history and activity history. What an item is out on right now does come across if your file has it: map a Checked Out To and a Due Back column. For the older record, attach the Sortly export to an asset as a document so it stays searchable (Keep Receipts, Manuals and Certificates with the Asset), and Asset Giant keeps its own history from the day you import: See Who Changed an Asset, and When.
  • Sortly’s own item IDs, as Asset IDs. Asset Giant generates Asset IDs itself from the format in Settings → Preferences, for example TOOL-000001, and an import never overwrites one. Map a reference column anyway so it can be used to recognise items you already hold, and keep the old number in a custom field if people know things by it.
  • Anything past your plan’s limits. The preview tells you how many rows will not fit before a single one is written. If your list is near the line, tell us the row count before you start and we will tell you which plan takes it: What Happens When You Reach Your Asset Limit.

If it goes wrong, undo it

Every import can be undone for 7 days from Settings → Import. Created assets are deleted, changed assets are put back, and anything edited since the import is left alone and named in the result.
