Switching from EZOfficeInventory
EZOfficeInventory is a capable, feature-heavy system, and unlimited users is a genuinely good deal if you have a lot of people. The two things that send people looking are what it costs to start and what happens when you want to hire kit out.
The two sticking points
The entry price. Read direct from their own pricing page on 3 August 2026: Essential US$63.55 a month, Advanced US$85.51, Premium US$100.88, each quoted “based on 300 items” — so the price climbs as the inventory does. There is no free plan, just a 15-day trial. Our Crew plan is £19 a month for 500 assets and three users, and there is a free tier underneath it.
Hire is a second product. If you rent equipment out, EZOfficeInventory is not where that happens — their rental system is EZRentOut, sold separately, with a published entry plan of US$399 a month billed annually when it was checked on 4 August 2026. With us, hire rates, quotes and invoices sit on the same £19 plan as the asset register.
We had two facts about EZO wrong on our own site until August 2026 and corrected them, so it is worth stating the favourable ones plainly: their users are unlimited, subject to fair usage — their own FAQ says so — and they do have AI.

3. Import, or hand it over
Map your own columns and preview the lot before anything saves. Or send us the export and we will load it by hand, free, on any paid plan.
4. Label and scan
Design QR labels and batch-print them to standard sheets, or assign pre-printed stickers already on your kit. Scan from a phone browser with nothing installed.

- One product, not two. Hire rates, chargeable periods, quotes, invoices and credit notes are on the same plan as the register — not a separate subscription at US$399 a month.
- A flat price that does not track your item count. £19/month for 500 assets, £79/month for 5,000. Per company, in pounds.
- There is a free plan. 100 assets, no card, no clock.
- The AI catalogues from a photograph. EZO’s AI is a chatbot and invoice OCR, and it is genuinely useful. Ours identifies an item you have never typed in and fills in its specifications.
- Labels you design and print yourself — visual designer, print queue, standard label sheets, pre-printed sticker assignment.
- Full UK VAT, including zero-rated, exempt and the construction domestic reverse charge, each kept properly separate.
When you should stay with EZOfficeInventory
There is one row here where they beat us outright and several where they are simply deeper.
- You have a lot of people. Unlimited users, subject to fair usage, is better than our seat caps and it is not close. If you have thirty people who each need a login, do the arithmetic before you move.
- You need maintenance management. They are strong on CMMS — work orders, service schedules, AI checklists as an add-on. We track service history but we are not a maintenance system.
- You need RFID or a long list of integrations. Both are theirs. We have QR and barcodes, and Stripe for card payments.
- You are running a full rental business. If you want a public booking storefront your customers order through, neither EZRentOut nor we should be judged on price alone — but we do not have a storefront at all, and that is a real gap.
