One scan, one name, one date

Which means the awkward conversation is short and factual rather than a matter of recollection, and the item that never came back is identifiable on a list rather than noticed a term later.

Set the statuses you actually use — Out on loan, In store, Being repaired, Written off, Retired — with Custom Statuses, so a broken projector is not silently counted as available.
