A link, not an attachment nobody opens

Every issued document gets a private share link. Email it from inside Asset Giant with a copy to yourself, paste it into your own email, or send the PDF — whichever the customer prefers. The share page opens without a login, on any phone, and shows the document exactly as it prints. Once it has been emailed a Sent marker appears beside the status, so "did that ever actually go?" is a question you can answer rather than guess at.

Your payment terms, payment instructions and bank details print on the face of the document, and the due date is worked out from the terms you set once.

Pay by card, straight into your account

Connect your own Stripe account and the share page gains a Pay now panel showing exactly what is outstanding. This is worth being precise about, because it is unusual:

  • The charge is made on your Stripe account, not ours. You are the merchant of record.
  • Asset Giant never holds or routes the money, and takes no cut and no application fee — not a percentage, not a fixed charge, nothing. Stripe's own processing fees apply exactly as they would if you billed through Stripe directly.
  • Connecting takes one step; if you have never used Stripe you can set it up during it.
  • Card payments are on the paid plans. Free Forever still raises, sends and tracks invoices and records payments as they arrive — it is the Pay now button your customer sees that comes with a paid plan.

The button only appears when it genuinely should: an issued invoice, something still outstanding, in a currency your account settles in. Otherwise your customer is simply pointed at the payment details rather than shown something that would fail.

A payments record you can trust

Every payment sits on the invoice as its own dated row — what came in, when, how, and any reference. A transfer, a cheque, cash, the card machine in the office: you record it by hand in seconds.

Card payments record themselves. When your customer pays on the share page, Stripe tells Asset Giant, and the payment is written onto that invoice with the amount, the date, the method and Stripe's own reference so you can match it against your balance. The invoice moves itself to part paid or paid at the same moment. A refund made in Stripe comes back the same way as its own negative row.

A mistake is corrected by reversing it, never by deleting it. Both entries stay — which is what makes it an audit trail rather than a running total somebody could quietly tidy up.

Three views of the money

  • Aged owing — every issued invoice still outstanding, bucketed by how far past due it is. Drafts never appear, because a draft is not money, and anything paid or credited in full drops off by itself.
  • Client balances — the same money grouped by who owes it, so one phone call covers everything that customer is behind on.
  • Tax report by rate — output tax by rate for a period you choose, with zero-rated, exempt and reverse-charge lines listed separately rather than added together.

The small balances you currently write off

Fuel. A bit of cleaning. One broken part. Individually they are not worth an afternoon of chasing, so they get written off — and across a year that is a real number that never appears on any report. When settling it is a line on a document the customer can pay from their phone in ten seconds, the arithmetic changes: it stops being worth more to you to let it go.

The wider picture is not encouraging either. The average small UK business is owed somewhere north of twenty thousand pounds in overdue invoices at any one time, and the typical wait after issuing one runs to several weeks. Firms that ask for payment up front grow faster than firms that give ninety days — which is a strong argument for making paying you the easiest thing in the customer's inbox.

If you do go further, the Late Payment of Commercial Debts legislation lets a business charge statutory interest at eight per cent above base plus a fixed sum per invoice. Very few people ever invoke it. Rather more people would be paid on time if the invoice had arrived with a working button on it.

Deposits, waivers and who is allowed to do what

Each item can carry a security deposit figure that flows through to the paperwork. A damage waiver — the percentage of the hire charge that most UK hire firms add as standard, and which is a contractual waiver rather than insurance — is a saved rate item like any other line, so it goes on every document automatically once you have set it up, at whatever percentage you charge.
