A document shaped like a hire, not like a shopping basket

A hire quote has a shape. Plant in one section, labour in another, delivery and collection at the bottom, and a subtotal the customer can point at. Every document in Asset Giant is a list of lines you arrange yourself: hire items priced from that asset's rates over the dates of the job, rate items from your saved catalogue, free-text lines, section headings, subtotals wherever you want a running figure, and notes with no charge attached for the sentence that saves a phone call.

One press from won to billed

A quote is a price you are offering; it can be accepted, declined or left to expire, and it converts into an invoice once. The invoice is numbered sequentially, frozen the moment you issue it, and it moves itself from issued to part paid to paid — going overdue on its own when the due date passes. A credit note corrects one that has already gone out, cites the invoice on its face, and is never counted against your plan, so a mistake can always be put right.

The finished hire that nobody billed

This is the money that quietly goes missing in a hire business. The kit went out three weeks ago, it came back on a Tuesday when you were on site, and there is no document anywhere with its name on it.

Bookings that have ended and have not yet been billed collect in an uninvoiced list. Anything you booked for your own work rather than a customer is kept out of it, and the ones filtered out are counted and named rather than silently dropped. It is a short list you can clear on a Friday afternoon, and it is the difference between a good month and a good month you actually got paid for.

The same paperwork, every month, in one minute

If you invoice the same developer for the same plant at the end of every month, save it once. A template holds the lines, the rates and quantities, the tax treatment on each line, your hire terms and your payment terms — but deliberately no dates and no frozen hire prices. Tax done properly, including the reverse charge

An invoice is a legal record. Multiple VAT rates picked per line; zero-rated, exempt and outside-scope kept genuinely separate because in law they are three different things; the construction domestic reverse charge with the Section 55A wording the regulations require, showing the rate that would have applied while nothing is charged; simplified invoices where the value allows. If you are not VAT registered, nothing you send will ever call itself a VAT invoice — that is a gate in the code, not a display preference.

Your trading name, address, VAT number, company number and logo are snapshotted onto each document as it is issued, so an invoice from March still shows March's details after you move yard.

Raised against the customer and the job, both ways round

Documents hang off the clients and projects you already keep, and each carries its own Financials tab — so "what have we quoted and billed on this contract?" reads the same whether you come at it from the customer or from the job.
