Starters and leavers: the kit that goes out, and the kit that comes back

Issue a starter's laptop, dock, monitors and phone to their name in a couple of minutes, and get every piece of it back on their last day.

Asset Giant turns handing over a new starter's equipment into a two-minute job: save the standard pack once, scan each item as you give it out, and the laptop, dock, two monitors, phone and headset are all checked out to that person's name with today's date against them.

On the way out it runs backwards. One search brings back everything still in their name, down to the spare charger.

Save the standard pack once, use it for every starter

Most starters get the same shape of kit. Build it once as a reusable list — laptop, USB-C dock, two monitors, keyboard and mouse, headset, phone — with Lists & Kits, and the next person's pack is already written. Different packs for different roles sit alongside each other: a developer's second monitor, a field engineer's rugged tablet, a finance laptop with a privacy screen.

On the day, scan each item's label as it goes into the box with the Mobile QR Scanner and Check Items In and Out puts the whole pack out to their name. Run it as an on-screen Digital Checklist and each item is ticked as it is scanned, so nothing is forgotten in the cupboard.

New kit that has just arrived goes on the register in the same pass: Import From a Spreadsheet for a delivery of twenty identical laptops, or point a phone at one and AI photo identification writes the name, make and model for you.

Every question about one person, answered by their name

Search a name and you get their laptop, their dock, both monitors, the phone and the headset, each with the date it was issued — see Powerful Search & Filters. Search an item instead and you get the person holding it, and everyone who held it before them, from Activity History & Audit Trail.

The signed equipment form, the delivery note and the warranty live on the item they belong to with Document & File Attachments, so the paperwork for a handover is where the handover is recorded.

Last day: the list is already written

Check the kit back in by scanning it, and anything that has not come back is still on screen against their name — the dock at their house, the second monitor on somebody else's desk, the phone in a drawer. That is the moment a missing item is cheap to find, while there is still somebody to ask.

Put a return date on anything that has to travel — kit posted back from a home address, a laptop with a leaver on garden leave — and on the Crew plan and above Checked-Out & Overdue Alerts emails you when a date passes.

Returned kit does not have to go straight back out. Give it a status of your own — In stock, To be wiped, For repair, Retired — with Custom Statuses and Asset Status & Booking, so the shelf tells you what is ready to reissue and what is waiting on a rebuild.

Home workers, hybrid desks and kit you cannot see

Kit at a home address is as visible as kit in the building: make the address a location with Track Assets by Location, and the register answers "what have we got at Sam's house" the same way it answers "what is on Floor 2". Hot-desk docks, meeting-room kit and loan laptops behave the same — a name and a date when they are out, back on the shelf when they are in.

Where several people need the same thing on different days — the loan laptop, the demo phone, the projector — the Asset Booking Calendar holds it for the day it is needed.

Everyone who needs it, with the access you choose

Whoever runs the handover can be the only person with a login: kit is checked out to a named person, so a starter needs no account for their laptop to be recorded against them. Where you want more hands on it, Add Your Whole Team gives a colleague the Scanner role to check kit in and out and run a stocktake without being able to change or delete anything, and a Viewer login for anyone who only needs to look. Extra people come with the Crew plan and above; Guided Tours walks a new pair of hands through it on their own phone.
